Hey everyone! I could use a little help here:
I'm currently finishing up my professional training, which wraps up on August 13th. My boss plans to move me onto a permanent full-time contract right after—starting August 14th. Since the company is fully certified with the IRS, I just wanted to check what paperwork I'll need to get everything squared away on the Social Security and Medicare portals. One of the owners is heading out on vacation soon, so I really want to have all this ready to go before they leave. Also, if anyone can walk me through how the whole process actually works, that would be amazing! Thanks so much for the help.

If you have a more recent certificate issued under your Social Security number, you should be able to handle the registration online through the NOAA portal quite easily. If not, you’ll just need to print out the necessary forms from their website and bring them down to the Social Security Administration office...

The same goes for your health insurance coverage; just fill out the required paperwork and drop it off at the local agency. I’ve heard the wait times can be pretty brutal, at least based on my experience around here...

So, from what I gather, everything with NOAA can be handled online—but for Medicare, do I actually have to show up in person or deal with paperwork physically? Also, if anyone knows the full list of docs needed for both applications, I’d really appreciate the help.

With Medicare, you don't really need much beyond having your social security number and basic personal info handy; you just file the paperwork and you're good to go.
For everything related to the local health insurance office, however, you’ll need to bring a completed Form 2, your ID, and your employment contract before heading down there in person. You should also grab an online access pass, though you'll have to wait for a response on your digital application first.

How long did it take you guys to actually get a notification about your successful activation on HealthIT.gov?
I sent my request in back on April 24th—and yeah, I know how that sounds—but I got an immediate confirmation saying everything was valid and that they’d hit me up via email once the activation was complete. Since then? Absolute radio silence... nothing. I've been firing off emails to support@medicare.gov like a total maniac, but honestly, it feels like I'm shouting into a void because I haven't heard a peep back. Does anyone have any advice on what I should do next?

There isn't much you can do besides wait.

They aren't exactly in a rush, seeing as people can still just walk into a local office in person.

With these online applications, they seem completely behind schedule and disorganized; perhaps they aren't even prioritizing new system users, or maybe they are dragging their feet on purpose...
In any case, they are quite consistent about sending emails, so you will eventually get an update via email or a phone call once they are ready.

I'm running into a wall while trying to offboard employees on HealthIT.gov. Specifically, the attachments won't upload. When I try to push them through, there’s absolutely zero feedback—no loading bar, no error message, nothing. Then I check the "sent attachments" menu and it's just totally empty. Has anyone else here dealt with this kind of glitch?

When you are naming those files, try to avoid using any special characters or accented letters—you know, things like é, ö, or ñ. Apparently, that can cause the whole process to stall.

Try stripping any special characters from your file names—like accents or symbols—and double-check that the files aren't too large.
They generally require PDF format, and if memory serves, the limit is around 150 MB...

Well, I’m not entirely sure if anyone else has posted this yet, but it looks like I might be the first one to bring this up here.

It actually happened... Amidst the chaos of managing a massive crew, dealing with endless crowds, and wrestling with these glitchy HR apps, I completely blanked on offboarding an employee. He had already moved on to a new gig and filed his paperwork elsewhere—yeah, those filings can overlap if you aren't careful.

I missed the deadline by exactly eight days. The termination filing finally went through, but now I'm sitting here wondering... am I looking at a fine?

According to the labor laws, missing the window can land an employer a penalty anywhere from $500 to $5,000, and the individual responsible could be looking at $100 to $1,000.

Has anyone else dealt with something like this?

I honestly have no idea how he managed to get himself registered; you’d think they would have flagged that he was already in the system somewhere...
I actually know of someone who ran into this exact issue where they couldn't sign up because their registration was already active.
In my own experience, I had to de-register a few people a month ago just to re-enroll them due to some changes in our headquarters, and not a single soul reached out to me
or even asked for clarification on why that happened. It seems like they can barely keep up with processing basic applications at that speed, so I highly doubt anyone is going to come after you for an oversight like that...

Apparently, the system allows overlapping registrations specifically to account for these messy situations—like when an employer fails to report a worker's departure on time, leaving them free to start a new job elsewhere.

If the system blocked a new employer from registering a hire because the old one hadn't cleared them yet, then the new company would be technically violating filing deadlines through no fault of their own. So, I assume they just let the registration slide regardless of the status. It would be nice if they actually sent a notification about these conflicts, though.

Anyway, I'm just going to sit tight and wait for a fix so we can finally get some clarity. Hopefully, nothing bad comes of it. 🤷

Specifically, what paperwork do I need to handle myself, and what are the legal requirements for my boss regarding my registration? Since my new employer is essentially a one-person operation, I’m a bit nervous about accidentally triggering a gap in my Social Security coverage due to a paperwork error. It seems to me that all the filings with the IRS and Social Security need to happen within a 24-hour window.

As for the new employer, they’ll need to register you with Social Security starting September 1st using the appropriate new hire forms within 24 hours, and then handle the health insurance enrollment within a week once the Social Security verification is processed. Just a heads-up on the math: your first employer will apply your standard tax deductions, but since the second employer is a separate entity, they won't account for those same personal exemptions on your second paycheck. Consequently, you might see a slightly higher tax withholding on that second income stream.

Can I bring those documents to Medicare myself, or does my employer have to handle it? My new boss is based over in Brooklyn, so I was wondering if we need to visit a specific local Medicare office or if it doesn't really matter which one we go to.

If I recall correctly, it’s usually within 15 days, though I’m not entirely certain myself; your best bet is probably just giving them a quick call to verify everything

Honestly, anyone can drop it off, provided the paperwork is properly signed and stamped by the new employer.
As for whether you need a specific local office... I haven't the slightest clue.
